Cancellation & Refund Policy

At Proper WebOps (“we”, “us”, or “our”), accessible at properwebops.com, we strive to deliver transparent, high-performance WordPress management, security, and technical operations services. This Cancellation and Refund Policy outlines the terms governing subscription cancellations, service modifications, and refund eligibility.

1. Subscription Billing & Non-Refundable Fees

Proper WebOps services are billed on a recurring monthly or annual subscription basis.

  • Non-Refundable Payments: All subscription payments, onboarding fees, custom optimization charges, and one-off service fees paid to Proper WebOps are strictly non-refundable.

  • No Partial Refunds: We do not provide prorated refunds, partial refunds, or service credits for unused support hours, unused plan time, or mid-cycle subscription cancellations.

  • Service Retainer: Subscription payments secure dedicated WebOps infrastructure, 24/7 endpoint monitoring resources, and allocated team availability regardless of whether allocated monthly support hours are fully utilized.

2. EU Consumer Right of Withdrawal (14-Day Cooling-Off Period)

If you are entering into this agreement as a consumer (a natural person acting outside the scope of a trade, business, craft, or profession) and reside in the European Union or United Kingdom, you are entitled to certain statutory rights under the EU Consumer Rights Directive (2011/83/EU) and equivalent UK legislation.

  • Right to Withdraw: You have the right to withdraw from your service agreement with Proper WebOps within 14 calendar days from the date of subscription, without providing any reason.
  • Express Waiver for Immediate Service Commencement: Because Proper WebOps services (site migration, monitoring setup, security hardening) typically begin immediately upon subscription to meet your onboarding request, you will be asked to provide explicit prior consent for immediate performance and to acknowledge that you lose your right of withdrawal once the service has been fully performed, in accordance with Article 16(m) of the Directive.
  • Partial Performance: If withdrawal is requested after service has partially commenced but before full performance, you may be liable to pay an amount proportionate to the services already supplied up to the point of withdrawal notice.
  • How to Withdraw: To exercise this right, notify us within the 14-day period via written request to support@properwebops.com, clearly stating your intention to withdraw.
  • B2B Clients Excluded: This section applies solely to consumers as defined above. Clients subscribing as a business, company, sole trader, or other legal entity are not consumers under this Directive, and the non-refundable terms in Section 1 apply in full.

3. Subscription Cancellation Protocol

You may cancel your Proper WebOps subscription at any time without penalty or cancellation fees.

  • How to Cancel: Cancellations can be submitted via written request to support@properwebops.com or directly through your client billing dashboard.

  • Cancellation Timing: To prevent automatic renewal for the subsequent billing period, cancellation requests must be submitted at least 48 hours prior to your scheduled renewal date.

  • Post-Cancellation Access: Following a cancellation request, your WebOps plan will remain fully active until the end of the current paid billing period. No further charges will be billed after the active period expires.

4. Service Offboarding & Asset Offloading

Upon the expiration of a canceled subscription:

  • Revocation of Access: Temporary administrative access tokens, monitoring connectors, and security integration keys managed by Proper WebOps will be deactivated and removed.

  • Off-Site Backups: Off-site encrypted backup snapshots stored on Proper WebOps cloud endpoints will be permanently purged in accordance with our Privacy Policy.

  • Client Data Transfer: The Client remains responsible for ensuring they have active, local administrative backups prior to the final subscription termination date.

5. Billing Errors & Chargebacks

  • Billing Discrepancies: If you believe an error occurred during payment processing or invoice generation, please notify us immediately at billing@properwebops.com. Confirmed administrative errors will be rectified or credited promptly.

  • Unilateral Chargebacks: Initiating an unauthorized credit card or payment provider chargeback without prior consultation with Proper WebOps constitutes a material breach of our Terms of Service and will result in immediate suspension of WebOps monitoring and management services.

6. Policy Amendments

Proper WebOps reserves the right to modify or adjust this Cancellation & Refund Policy at any time. Any changes will be published on properwebops.com and will take effect immediately for new subscriptions and upon the next billing cycle for active clients.
